TERMS OF SERVICE OF THE CLOSED EVENT “FUTERKON 2026”

§1 Chapter I. General Provisions

  1. These Terms of Service define the rules for participation in the event named “Futerkon 2026” (hereinafter referred to as the “Event” or “Convention”).
  2. The Organizer of the Event is Futerkon sp. z o.o. with its registered office in Warsaw at ul. Tarnowiecka 13/U4B, 04-174 Warsaw, entered into the National Court Register under KRS number 0001085100, NIP 1133123624, REGON 527627722 (hereinafter referred to as the “Organizer”). The Organizer can be contacted at the e-mail address: organizator@futerkon.pl.
  3. The Event takes place from July 29 to August 2, 2026, at the Ossa Conference and Training Center (Ossa 1, 96-200 Rawa Mazowiecka), hereinafter referred to as the “Facility”.
  4. The Event is closed in nature. Participants may only be adults who have successfully registered, paid the full Accreditation fee, purchased a room or a place in a room at the Facility, and have been entered on the Participant list.
  5. By registering, purchasing Accreditation, and booking a room, every Participant accepts these Regulations and undertakes to comply with their terms.
  6. Familiarization with the content of these Regulations is a condition for participation. Failure to do so cannot be the basis for claims against the Organizer.
  7. Persons who do not comply with these Regulations or the Facility’s Regulations may be removed from the Event area. Such removal does not justify a refund of the Accreditation fee, accommodation fee, or any other costs incurred.
  8. The Regulations are available on the Convention Website: https://2026.futerkon.pl/.
  9. Participants must comply with both these Regulations and the Facility’s Regulations (Hotel Ossa), except where otherwise regulated by the contract between the Organizer and the Facility. Regarding safety and fire regulations, the Facility’s Regulations take precedence. In other cases, these Event Regulations take precedence.

§2 Definitions

  1. Convention App: A mobile application for managing participation in the Convention.
  2. Participant: A Consumer, Entrepreneur, or any other entity that has purchased participation in the Event.
  3. Consumer: As defined in Art. 22(1) of the Civil Code.
  4. Entrepreneur: As defined in Art. 43(1) of the Civil Code.
  5. Form: The registration form on the Convention Website used to conclude the Agreement.
  6. Agreement: The contract for participation concluded between the Participant and the Organizer.

§3 Chapter II.

Participation and Registration

  1. Participants must be at least 18 years old by the start date of the Event.
  2. Conditions for participation include:
    • Filling out the registration form on the Website or App.
    • Providing true personal data (name, surname, date of birth, email).
    • Timely payment of the Accreditation and accommodation/catering fees.
    • Presenting a valid photo ID during on-site accreditation.
  3. The Organizer reserves the right to refuse or withdraw Accreditation without giving a reason (subject to a refund if withdrawn before the event and not due to a policy violation).
  4. Inability to attend specific program points due to capacity limits does not entitle the Participant to any claims or refunds.

§4 Chapter III.

Payments and Reservations

  1. Payments are made exclusively through the online system in the Participant panel.
  2. STAGE I – Reservation of Entire Rooms (March 22, 2026 – April 5, 2026):
    • One person (“Room Owner”) reserves the room for a group.
    • Owner’s Fee: 2,499 PLN (700 PLN Accreditation Plus + 1,799 PLN Hotel Fee).
    • This is a non-refundable special offer.
    • Payment must be credited within 24 hours of selection, or the reservation is canceled.
    • The room is then locked with a password until April 12, 2026.
  3. STAGE II – Joining Rooms (Starting April 6, 2026):
    • Allows booking individual spots in free rooms or joining Stage I rooms.
    • Until April 12, Stage I rooms require a password from the Room Owner. After this date, passwords expire and spots are released to the public.
    • Cost: 2,199 PLN total.
    • Payment steps:
      1. Standard Accreditation: 400 PLN (non-refundable), due within 24 hours.
      2. Hotel Fee: 1,799 PLN (non-refundable), due within 21 days of booking.
  4. Accommodation Info: Standard price (1,799 PLN) applies to 2 or 3-person rooms. A single room costs 2,399 PLN. 4-person rooms require full occupancy; otherwise, participants must pay a surcharge.

§5 Late Payments and Cancellations

  1. Failure to pay within deadlines results in automatic cancellation.
  2. Previously paid amounts (including Accreditation) are non-refundable.
  3. All dues must be credited at least 14 days before the Event.

§6 Chapter IV.

Invoices and Withdrawal

  1. To receive a VAT invoice, the Participant must select the option during the order and provide full details (NIP, name, address).
  2. No Right of Withdrawal: According to Art. 38 pkt 12 of the Consumer Rights Act, the Participant has no right to withdraw from the contract, as it concerns accommodation and entertainment services designated for a specific period.

§7 Chapter V. Safety and Order

  1. Prohibited items: Firearms, explosives, narcotics, sharp weapons, and non-room-standard electrical devices (heaters, irons).
  2. Safe replicas (LARP weapons) and utility knives are allowed subject to verification.
  3. Drones: Prohibited for participants; only the Organizer may use them.
  4. Substances: No consumption of private alcohol in common areas. Smoking/vaping only in designated areas. Intoxicated or aggressive individuals may be removed.
  5. Pets: Allowed after registration and payment at reception; must be on a leash and are banned from restaurants and conference rooms.
  6. Pool: No private inflatable toys. Strictly no swimming in ponds/water features; violation may lead to immediate removal.

§8 Chapter VI.

Image and GDPR

  1. Participation constitutes consent for the free recording and dissemination of the Participant’s image (photo, video, audio) for documentation and promotion of the Convention.
  2. The Facility is under video monitoring (excluding restrooms and smoking areas) for safety.
  3. Personal data will be shared with CKS Ossa Sp. z o.o. for room reservations and with other participants for convention-related purposes.

§9 Liability

  1. The Organizer is not responsible for legal violations or damages to third parties/property caused by Participants.
  2. The Organizer is not liable for property damage caused by force majeure (fire, flood, etc.).

§10 Copyright

  1. Selling products that violate copyrights is prohibited.
  2. All commercial or promotional activity requires the Organizer’s prior consent.

§11 Complaints

  1. Complaints should be sent in writing or electronically to the Organizer.
  2. The Organizer will consider complaints within 30 days.

§12 Final Provisions

  1. In matters not covered, the Civil Code and the Hotel Ossa Regulations apply.
  2. The Organizer may change the Terms of Service, provided it does not violate acquired rights.
  3. If force majeure prevents the Event, the Organizer will set a new date.
